Student Employment Guidelines

General Guidelines

  • Students may work no more than 20 hours per week during the Academic Year, no more than 40 hours per week during the summer or spring breaks, and no more than 30 hours per week during Ramadan.
  • Hiring departments must permit flexibility in the scheduling of student workers with respect to tests, papers, or other class requirements.
  • GU-Q students must be given priority, but if no suitable student can be found, the hiring manager may ask the SEO to advertise within Education City.
  • All students are paid through GMS, whether or not they are US citizens.
  • Additional information can be found in the student employment handbook.

Evaluations

  • Students can be evaluated at the end of each semester and/or at the end of the work term. This should be done in tandem with the student. Sharing results will help them understand their strengths and areas for improvement.
  • Complete the online form to evaluate a student worker.
Student Volunteer Guidelines

Student volunteers are defined as students who perform tasks or services for GU-Q or for the wider community under the auspices of GU-Q without paid compensation or course credit.

The guidelines for student volunteers are:

  • Volunteers cannot replace paid work: Voluntary service must be intended to contribute to the educational, social, or moral development of the student and must not be intended solely to fill deficiencies in a unit’s staffing.
  • Volunteers cannot perform necessary, routine, or core unit tasks: Students cannot be compelled to work voluntarily, so reliance on volunteerism to complete necessary tasks is not advised. Projects solely of a routine or clerical nature should be performed by paid student workers to ensure their effective completion.
  • Voluntary service counts as experience for student worker consideration: Certain projects require both paid student workers and volunteers (e.g. Model United Nations) in which paid student workers have helped staff coordinate the service of volunteer workers. In such instances, paid student workers may be selected, in part, on the basis of past voluntary service to the project.
  • Service should not conflict with classes: Students must not be excused from class to engage in GU-Q sanctioned voluntary activities without the approval of the Associate Dean of Academic Affairs.
  • Individual departments recruit volunteers: Student Employment is not involved in the recruiting of student volunteers and leaves it to hiring departments to ensure that appropriate approvals, standards, and practices are met.
End of Work Procedures

When a student stops working for you or your department, fill out the end-of-work form. Please note that all student employees are automatically terminated in the system at the end of the spring semester and at the end of the summer term. Departments wishing to keep the same student workers for the following term must submit new hiring forms and student paperwork.

Reasons for ending student work arrangements include:

  • The natural end of the work term
  • Involuntary termination
  • Resignation
